Freelance Cancellation Policy Template UK: Protect Your Income in 2026
A client emails you on Monday morning: "We've decided to go a different direction. Thanks for everything!"
You'd blocked out two weeks for their project. Turned down other work. Already started the research phase. And now? Nothing. No payment for time lost. No compensation for the gap in your schedule.
This happens to nearly every freelancer at least once. But it only happens twice if you don't have a cancellation policy.
Here's the template I use, plus everything you need to know about kill fees, notice periods, and deposit retention under UK law.
Why You Need a Cancellation Policy
Without one, you have almost no protection when a client pulls out. Yes, you can pursue payment for work already completed — but that's it. The days you'd blocked out, the other clients you turned away, the mental gear-shift of suddenly needing to fill your pipeline — none of that gets compensated.
A cancellation policy does three things:
- Protects your income — kill fees and non-refundable deposits mean cancellation costs the client, not just you
- Filters out tyre-kickers — clients who are serious about a project won't baulk at reasonable cancellation terms
- Provides a framework — if things do go south, everyone knows what happens next. No awkward negotiations when emotions are high.
The Core Components
1. Non-Refundable Deposit
Your deposit should be explicitly non-refundable in your contract. This isn't controversial — it's standard practice.
How much:
- Projects under £2,000: 50% deposit
- Projects £2,000–£10,000: 33% deposit
- Projects over £10,000: 25% deposit or milestone-based payments
The deposit covers your scheduling commitment, preliminary research, and opportunity cost. Under UK contract law, the amount needs to be a genuine pre-estimate of loss — not a penalty. Keep it proportionate and you're on solid ground.
2. Kill Fee Schedule
A kill fee compensates you when a project is cancelled after work has begun, on top of retaining the deposit. Here's the structure I recommend:

Important: These are in addition to payment for any completed milestones or deliverables.
3. Notice Period
Reasonable notice periods for UK freelancers:
- Project work: 14 days written notice
- Retainer/ongoing: 30 days written notice
- Urgent/short projects (under 2 weeks): 48 hours notice
If a client cancels without proper notice, the kill fee should increase by one tier. State this clearly in the contract.
4. What Happens to Completed Work
This catches people out. If a client cancels midway through, who owns the work you've done?
My policy: Intellectual property transfers on payment. If the project is cancelled:
- Work paid for (including via deposit) = client owns it
- Work not paid for = you retain all rights
- Client can purchase unpaid work at the originally quoted rate
The Template
Here's the exact cancellation clause I include in every freelance contract. Adapt it for your situation:
CANCELLATION AND TERMINATION
7.1 Either party may terminate this agreement by providing [14/30] days' written notice to the other party.
7.2 The deposit paid under clause [X] is non-refundable and shall be retained by the Contractor in all circumstances, including cancellation by the Client.
7.3 In the event of cancellation by the Client after work has commenced, a cancellation fee shall be payable as follows:
(a) 0–25% project completion: 25% of the remaining unpaid balance
(b) 25–50% project completion: 50% of the remaining unpaid balance
(c) 50–75% project completion: 75% of the remaining unpaid balance
(d) Over 75% project completion: 100% of the total project fee
7.4 The cancellation fee is payable in addition to any amounts due for completed milestones or deliverables.
7.5 Cancellation without the required notice period shall result in the cancellation fee being calculated at the next higher tier.
7.6 Intellectual property in any work product shall transfer to the Client only upon receipt of full payment for that work. Unpaid work product remains the property of the Contractor.
7.7 The Contractor may terminate this agreement immediately if the Client fails to make any payment within [14] days of its due date.

Common Scenarios
"We're putting the project on hold"
This is cancellation in disguise. Don't let a "pause" leave you in limbo. My contract includes:
"A project hold exceeding 30 days shall be treated as a cancellation unless both parties agree in writing to revised timelines. During any hold period, the Contractor is free to accept other work and cannot guarantee availability when the project resumes."
"Can we just reduce the scope instead?"
Scope reduction is fine — but issue a change order. The reduced scope should still honour the minimum fee or deposit. Don't let "scope reduction" become a way to pay you less for the same scheduling commitment.
"Our budget got cut"
That's not your problem to absorb. The cancellation policy applies regardless of the reason. Be empathetic in your communication, but firm on the terms. You signed a contract, they signed a contract.
How to Introduce This Without Scaring Clients Off
Most freelancers worry that strict cancellation terms will lose them clients. In practice, the opposite happens — it signals professionalism.
When I walk clients through my contract, I say something like:
"Section 7 covers what happens if either of us needs to end the project early. It's there to protect both of us — you're protected because I can't just walk away, and I'm protected because I'm committing time to your project that I can't offer to other clients."
Frame it as mutual protection, not as you being difficult.
